Booking Terms
1. Overview
These Booking Terms apply when Routelle Travel assists with travel planning, itinerary design, supplier research, booking support, reservations, concierge coordination, or related services.
2. Role of Routelle Travel
Routelle Travel provides professional travel planning and coordination services. Depending on the request, Routelle Travel may act as an itinerary designer, travel consultant, booking support provider, concierge coordinator, or intermediary between the client and third-party suppliers.
Routelle Travel does not own or operate airlines, hotels, cruise lines, tour companies, transfer companies, restaurants, guides, activity providers, or other travel suppliers unless expressly stated.
3. Booking Requests
Submitting a request does not guarantee availability, price, supplier acceptance, or booking confirmation. Routelle Travel may request additional details before preparing a proposal or contacting suppliers.
4. Quotes and Proposals
Quotes, sample itineraries, proposals, estimated prices, and availability information are for planning purposes until confirmed. Prices are subject to change until booking is confirmed. All bookings are subject to supplier terms and availability.
5. Confirmation
A booking is confirmed only when all required information, approvals, payments, and supplier confirmations have been completed. You should review confirmation documents immediately, including names, dates, routes, room types, cancellation rules, payment deadlines, and supplier terms.
6. Deposits and Payment Deadlines
Some suppliers require deposits, full payment, staged payments, or strict payment deadlines. If payment is not received by the applicable deadline, availability may be lost, prices may change, or the booking may be cancelled.
7. Traveler Names and Documents
Traveler names must match passports or government identification where required. Errors may result in denied boarding, cancellation, change fees, rebooking costs, or loss of booking value. You are responsible for verifying all traveler details.
8. Passports, Visas, and Entry Requirements
Clients are responsible for passports, visas, entry requirements, transit requirements, vaccination or health documents, travel authorizations, customs rules, and any other documentation required by destination or transit countries. Requirements may change without notice.
9. Supplier Terms
Supplier terms may include cancellation penalties, change fees, non-refundable deposits, no-show penalties, minimum stay rules, resort fees, local taxes, baggage fees, fare restrictions, age requirements, health requirements, safety rules, and conduct rules. You agree to comply with all supplier terms.
10. Air Bookings
If flights are sold, arranged, compared, or assisted, airline fare rules, baggage rules, change fees, cancellation fees, refund rules, seating rules, schedule changes, and operational decisions are controlled by the airline and applicable regulations. Routelle Travel is not responsible for airline actions or operational disruptions.
11. Hotels and Accommodation
Hotel and accommodation bookings may be subject to deposit rules, cancellation rules, resort fees, local taxes, check-in age rules, credit card authorization requirements, security deposits, room category availability, bedding availability, and property-specific policies. Room views, bedding, upgrades, early check-in, and late check-out are not guaranteed unless confirmed by the property.
12. Tours, Transfers, and Activities
Tours, transfers, guides, restaurants, and activities may be subject to weather, minimum participation, local conditions, operator policies, timing, traffic, safety rules, and cancellation deadlines. Some services may require waivers, identification, health disclosures, or physical ability.
13. Client Changes
Client-requested changes may result in repricing, loss of availability, supplier penalties, new deposits, or additional Routelle Travel service fees. Changes are not guaranteed until confirmed by the applicable supplier.
14. Special Requests
Special requests such as dietary needs, accessibility needs, room preferences, celebrations, seating preferences, and timing preferences will be communicated where possible, but are not guaranteed unless confirmed by the supplier.
15. Travel Insurance
Travel insurance is strongly recommended for all travelers. It may protect against certain covered risks, depending on the policy. Clients are responsible for reviewing policy terms, exclusions, coverage limits, and claim requirements.
16. Client Conduct
Suppliers may refuse service or remove travelers for unsafe, unlawful, abusive, disruptive, intoxicated, or non-compliant behavior. Routelle Travel is not responsible for losses caused by traveler conduct or supplier enforcement of rules.
17. Supplier Failure
Routelle Travel is not responsible for supplier bankruptcy, insolvency, closure, staffing shortages, operational failure, overbooking, cancellation, delay, or refusal of service. Any refund or credit depends on supplier rules and applicable law.
18. Final Travel Review
Before departure, clients should review all confirmations, identification, passport validity, visas, health documents, insurance, transfer times, check-in times, baggage rules, local requirements, and emergency contacts.
